The Opportunity
Equitas is seeking a highly motivated Payroll and Benefits Coordinator with a passion for human rights, equality and inclusion and administrative experience. The Payroll and Benefits Coordinator will be link between the Human Resources and Finance teams. You will be responsible of the payroll processing for our offices (Montreal and Vancouver), benefits administration, employee recordkeeping, ensuring compliance with applicable government regulations and will also assist with bookkeeping tasks. This role will report to the Senior Manager People and Culture.
Tasks and Responsibilities
- Compile, enter data and process payroll for each cycle such as new hires, compensation, benefits, termination, leaves (STD, LTD, parental, unpaid), timesheets for part-time employees and interns, holidays, taxable benefits, PTO and record of employment
- Check payroll information for accuracy and ensure all relevant information is in order before processing
- Validate that payroll payment is accurate and ensure proper action as needed with payroll providers
- Ensure government compliance in multiple jurisdictions, and act as the government contact for ROE queries
- Responsible for the administration of assigned group benefits plans which includes setting up new members, processing of benefit changes, calculating payroll deductions/taxable benefits, billing verification, and payroll reconciliation
- Manage the year end process: understand any changes for the current year, prepare year end adjustments, review preliminary and final packages for the year, prepare and send (if applicable) tax forms for the employees, prepare all government reporting, and provide payment information to the Finance team to meet deadlines
- Prepare and conduct Payroll and Benefits orientation for the new hires
- Prepare employment contracts, employment letters, salary/bonus letters, and memos as needed
- Review expense reports from employees, ensure policy compliance and reflect on payroll
- Assist with HR and Finance projects as requested

What is essential for role
- 2-3+ years of experience in a Payroll Administrator/coordinator role or equivalent
- Excellent knowledge of payroll processes
- Proficient in Excel and SharePoint
- Strong organizational and planning skills, ability to work accurately and efficiently under demanding deadlines and with minimal supervision
- Works well on teams and as an individual contributor
- Ability to maintain strict confidentiality
What is an asset to the role
- Experience with Employeur D or any other payroll software
