Job Title: Coordination Assistant – International Human Rights Training Program

Location: Montreal and Orford, Canada

Status: Short-term full-time contract, Hybrid work (Variable schedules)

Number of positions available: 3 (We are hiring for three Coordination Assistant roles in total – one starting in July and two starting in September.)

  • 2 positions: September 2 to November 24, 2025

Equitas was established in Montreal as a non-profit, non-governmental organization in 1967 with a mandate to advance democracy, human development, peace and social justice through transformative human rights education programs.

The Opportunity

Equitas is seeking a highly motivated Human Rights Coordination Assistant for the preparation and implementation of its 42nd International Human Rights Training Program (IHRTP). The IHRTP brings together human rights defenders and educators from around the world for an intensive program that includes a five-week online component, a two-week in-person component in Orford, Quebec, and post-program follow-up.  The contract begins a few weeks before the training starts to allow time for onboarding and pre-program logistics. The in-person portion of the program will take place from October 26 to November 7, 2025, with preparations and facilitators orientation starting the week before. 

Under the supervision of the IHRTP Senior Project Officer, the IHRTP Coordination Assistant will support to the team responsible for implementing the training. 

Tasks and Responsibilities  

The Coordination Assistant will be involved in supporting and coordinating a major international training program in an intercultural context, working closely with participants, facilitators, and staff from around the world  

          Before the in-person training (Montreal, September to October 2025):

    • Respond to participants inquiries and coordinate requests. 
    • Manage participant information in Equitas’ database (Salesforce) 
    • Support visa application process 
    • Coordinate with travel agency 
    • Prepare the participants’ directory, program handbook, welcome kits, badges, printed materials, and other resources  
    • Research suppliers, sponsors and manage inventory 
    • Assist with logistics planning and packing for Orford. 

    Preparations at the training venue (Orford, October 20-25)  

    • Participate in and support the move to Orford  
    • Assist in setting up classrooms and coordination spaces. 

    During the in-person training (Orford, October 26 to November 7) 

    • Support daily logistics: room setups, material management, and supplies. 
    • Coordinate with the venue (Jouvence) regarding site layout, furniture placement, and other logistical arrangements. 
    • Coordinate technology support to ensure seamless production setup, live streaming, and technical support. 
    • Coordinate meals, transport and accommodation with Jouvence staff  
    • Assist with program and social events 
    • Maintain common areas and inventory 
    • Support facilitators and participants arrivals and departures 
    • Distribute the participants’ directory, program handbook and welcome kits;    
    • Running on-site Equitas office    

    After the Program (Montreal, to November 22)

    • Coordinate return of materials and supplies to Montreal  
    • Track outstanding reimbursements and invoices 
    • Archive coordination documents, checklists, and contracts 
    • Contribute to the IHRTP 2025 team report

About you

What is essential for the role

  • Eligibility to work in Canada and reside in Montreal.  
  • Fluency in French and English (written and spoken)  
  • Post-secondary education or equivalent experience in a related field (e.g. project administration, event planning, social justice, international development or human rights. ) 
  • Commitment to human rights, human rights education and/or social justice issues 
  • Strong planning and organizational skills 
  • Ability to work under pressure and adapt quickly 
  • Willingness to work evenings and weekends =when needed, particularly during the intensive delivery phase 
  • Analytical skills and ability to take initiative. 
  • Interpersonal skills: tact, diplomacy and discretion. Enjoys working with others. 
  • Attention to details 
  • Strong digital skills: MS Teams, Zoom SharePoint Office 365 (Word, Excel, PowerPoint, Outlook), Canva.  
  • Availability on weekends and evenings when necessary.

What is an asset to the role

  • Valid driver’s license (Please indicate if so in your cover letter) 
  • Experience in the nonprofit sector 
  • Experience in international events or contexts   
  • Familiarity with Salesforce,  
  • Additional language(s) beyond English and French
