Status : Contract, Full time, 35 hrs a week (contract for 18 months)

Salary range : $43 000 – $50 000

The Opportunity

Equitas is seeking a highly motivated Logistics Coordinator with a passion for human rights, equality and inclusion and administrative experience. Reporting to the Senior Programs Officer, the Logistics Coordinator’s focus will be to support the planning, development, implementation, monitoring, evaluation and reporting of programs activities, with a particular focus on the International Human Rights Training Program and other programs at Equitas.

Tasks and Responsibilities

  • Support the logistical organization of in‐person and online program and project activities in collaboration with Program teams and partners in the region, including regional and national meetings, training sessions and other project activities (team travel and accommodation, schedules, materials, etc.).
  • Support project teams in the preparation of narrative and financial reports, including the verification of financial reports submitted by partners.
  • Support the monitoring and evaluation of project activities, including the conducting entry, processing, and analysis of project data.
  • Ensure logistics of online activity/event before, during and after event, so that facilitators can focus on the delivery.
  • Work closely with Program colleagues to communicate and maintain stakeholder relationships, thereby ensuring project goals are met.
  • Support the program team to ensure that all tools and communications are in both French and English.
  • Edit texts in English and French to ensure they are well written, logically structured and in the right style for the intended audience as well as correct grammar, spelling, tone, tense, appropriate use of inclusive language guidelines, respect of Equitas’ style and terminology, etc. In collaboration with the communications’ team
  • Organize transportation of participants, resource persons and facilitators and ensure a good relationship with the travel agent.
  • Support payments and honorariums for partners including youth.
  • Support the project teams to ensure that all project documentation is organized and accessible (ensure respective SharePoint folders are updated with all final versions of documents).
  • Contribute to the preparation of presentations and education tools based on advice from the project teams.
  • Support work on development of project proposals (gathering documents, uploading to funder site, collating information from past projects).
  • Support the planning, organization, and reporting (notetaking) of meetings and completion of reports following specific network meetings.

What is essential for role

  • Eligibility to work in Canada and be based in Canada
  • Ability to communicate orally, read and understand documents produced in both of Canada’s official languages (French and English). This position requires the ability to communicate in both languages written and orally, daily.
  • Post‐secondary education or equivalent experience in a related field such as (but not limited to) project administration, event planning, social justice, international development, or human rights.
  • Minimum of three (3) years project administration experience, preferably in a non‐profit, charitable, or civil society organization.
  • Excellent computer skills, including with online conferencing tools (MS Teams, Zoom, etc.), cloud‐based document management (SharePoint), and Office 365 (Word, Excel, PowerPoint, Outlook).
  • Ability to respond quickly and effectively to changing circumstances.
  • Analytical skills and ability to take initiative.
  • Interpersonal skills: tact, diplomacy, and discretion.

What is an asset to the role

  • Experience supervising interns and volunteers
  • Engagement in the fields of human rights, human rights education, and/or social justice issues. Experience with Salesforce database
  • Skills in any languages in addition to English and French
