The Opportunity

Equitas is seeking a highly motivated Project Logistics Coordinator with a passion for human rights, equality and inclusion and administrative experience. Reporting to the Senior Program Officer, the Logistic Coordinator will support the planning, development, implementation, monitoring, evaluation and reporting of program activities, with a particular focus on the Canadian programs. The Canadian Program Logistics Coordinator is a member of the Canadian program and provides cross-functional support to all aspects of Equitas’ programming throughout Canada. The work plan of this person evolves as the Canadian program evolves to meet the unique needs of partners across the country.

Tasks and Responsibilities

Project management support for Canadian program

  • Ensure logistics for the organization and preparation of Equitas and partner travel (internal travel forms, purchase of airline tickets, reservations, expense account).
  • Support the logistical organization of in-person and online program and project activities in collaboration with Canadian Program colleagues and partners, including regional and national meetings, training sessions and other project activities (team travel and accommodation, schedules, materials, etc.).
  • Support partners in the reporting processes, evaluation and expense tracking.
  • Support project teams in the preparation of narrative and financial reports, including the verification of financial reports submitted by partners.
  • Support the monitoring and evaluation of project activities, including the conducting, entry, processing, and analysis of project data.
  • Support payments and honorariums for partners including youth.

Partner relationships and communications

  • Support the administration of the SpeakingRights.ca website including supporting partners with blog entries.
  • Supporting the Canadian communications project team with annual communications goals.
  • Work closely with Canadian Program colleagues to communication and maintain stakeholder relationship, thereby ensuring project goals are met.
  • Support the program team to ensure that all tools and communications are in both French and English.
  • Edit texts in English and French to ensure they are well written, logically structured and in the right style for the intended audience.
  • Copy edit in English and French to correct grammar, spelling, tone, tense, appropriate use of inclusive language guidelines, respect of Equitas’ style and terminology, etc.

Support program delivery

  • Ensure logistics of online activity/event before, during and after event, so that facilitators can focus on the delivery.
  • Support the project teams to ensure that all project documentation is organized and accessible (ensure respective SharePoint folders are updated with all final versions of documents).
  • Contribute to the preparation of presentations and education tools based on advice from the project teams.
  • Support work on development of project proposals (gathering documents, uploading to funder site, collating information from past projects).
  • Support the planning, organization, and reporting (notetaking) of meetings and completion of reports following specific network meetings.

What is essential for role ?

  •  Motivation and commitment to Equitas’ mission, vision, and values.
  • Post-secondary education or equivalent experience in a related field such as (but not limited to) project administration, event planning, social justice, international development, or human
  • One to two years of project administration experience, preferably in a non-profit, charitable, or civil society organization.
  • Excellent computer skills, including with online conferencing tools (MS Teams, Zoom, ), cloud- based document management (SharePoint), and Office 365 (Word, Excel, PowerPoint, Outlook).
  • Interest and ability to master new technological environments and solve problems.
  • Excellent interpersonal skills.
  • Availability to work flexible hours to support specific project
  • Ability to communicate orally read and understand documents produced in both of Canada’s official languages (French and English). This position requires the ability to communicate in both languages written and orally, in a daily basis.
