The opportunity
Equitas is seeking a highly motivated Logistics Coordinator who is passionate about human rights, equality, and inclusion and has administrative experience. Reporting to the Senior Manager – International Training, or any other person designated, you will support the planning, development, implementation, monitoring, evaluation, and reporting of Equitas’s international training activities.
Tasks and responsibilities
- Support the logistical organization of in-person and online project activities in collaboration with the international training teams and regional partners, including regional and national meetings, training sessions, and other project activities (team travel and accommodations, schedules, materials, etc.)
- Support project teams in preparing narrative and financial reports, including verifying financial reports submitted by partners.
- Support the monitoring and evaluation of project activities, including the collection, processing, and analysis of project data.
- Handle the logistics of online events before, during, and after they take place, so that facilitators can focus on execution.
- Work closely with colleagues from international programs to communicate with and maintain relationships with stakeholders, thereby ensuring the achievement of project objectives.
- Support the team to ensure that all materials and communications are written in French and English.
- Proofread texts in English and French to ensure they are well-written, logically structured, and appropriate in style for the target audience, as well as to correct grammar, spelling, tone, tense, proper use of inclusive language guidelines, adherence to Equitas’s style and terminology, etc., in collaboration with the communications team.
- Organize (as needed) transportation for participants, resource persons, and facilitators, and maintain a good working relationship with the travel agency.
- Manage payments and honoraria for partners, including the young people we work with.
- Support international training teams to ensure that all project documentation is organized and accessible (ensure that the respective SharePoint folders are updated with all final versions of the documents).
- Help prepare presentations and educational materials based on guidance from the project teams.
- Support the work of drafting project proposals (gathering documents, uploading them to the funder’s website, compiling information from previous projects).
- Help plan, organize, and take minutes for meetings, and draft reports following specific network meetings.
- Other tasks may be assigned.

What is essential for the role
- Eligibility to work in Canada.
- Ability to communicate orally, read, and understand documents in both of Canada’s official languages (French and English). This position requires the ability to communicate in both languages, both in writing and orally, on a daily basis.
- Postsecondary education or equivalent experience in a related field such as (but not limited to) project administration, event planning, social justice, international development, or human rights.
- A minimum of three (3) years of experience in project administration/logistics, preferably within a nonprofit, charitable, or civil society organization.
- Excellent computer skills, particularly with online conferencing tools (MS Teams, Zoom, etc.), cloud-based document management (SharePoint), and Office 365 (Word, Excel, PowerPoint, Outlook).
- Ability to respond quickly and effectively to changing circumstances.
- Analytical skills and the ability to take initiative.
What is a plus for the role
- Commitment to human rights, human rights education, and/or social justice issues.
- Proficiency in languages other than English and French
- Knowledge of Salesforce
