Title: Office Manager (Human Resources profile)
Location: Montreal, Quebec
Status: Full-time, one-year contract with possibility of renewal

Equitas – International Centre for Human Rights Education, a non-profit organization based in Montreal is dedicated to advancing equality, social justice and respect for human dignity around the world through innovative educational programs. Equitas is currently seeking a full-time Office Manager to manage key organizational functions related to the Board of Directors, Human Resources and Internal Communications. Reporting to the Executive Director, he / she will work closely with the Program Management Officer and the Operations and IT Manager.

Responsibilities

Board of Directors
• Plan and coordinate meetings of the Board of Directors and the Executive Committee
• Prepare agendas, minutes and distribute them in a timely manner, in consultation with the Executive Director and the Chair of the Board of Directors
• Provide the necessary support to ensure the smooth functioning of the activities and processes of the Board of Directors

Contribute to the good management of Equitas human resources
• Provide current and potential employees with information on current human resources policies and procedures
• Assist managers to ensure implementation of policies and procedures
• Information management
• Coordinate recruitment and referral processes
• Keep abreast of legislation, industry trends and inform management of HR risks and opportunities.

Coordinate internal communication
• Put in place systems to ensure a steady flow of information to all staff on organizational issues
• Coordinate staff meetings
• Manage general correspondence and requests for information
• Coordinate access to translation services

Carry out any other tasks that may be assigned by the Executive Director

Qualifications

Education and experience
• University degree with a minimum of two years of administrative experience
• Knowledge and experience of human resources management practices and procedures
• Knowledge and experience of administrative practices and procedures
• Computer skills and knowledge of office software
